A leading global investment banking organisation is seeking an experienced Office Manager & Executive Assistant to join its Frankfurt office.

This is a unique opportunity to play a central role in supporting a high-performing investment and corporate banking team while overseeing the day-to-day operations of a busy international office. Working alongside an Administrative Assistant, you will act as a key point of coordination between management, clients, suppliers, and colleagues across multiple international locations.

This is a permanent, full-time position requiring a minimum of four days per week in the office, with one working from home.

Key Responsibilities

Office Management

  • Coordinate and deliver client events across the DACH region.
  • Organise recruitment events and liaise with internal talent acquisition teams.
  • Oversee office operations, including facilities management, office supplies, maintenance, accounting administration, and vendor management.
  • Act as a key contact between the Frankfurt office and central support functions, including IT, HR, Finance, and Real Estate teams.
  • Manage relationships with external suppliers and service providers.

Executive Assistant Support

  • Provide high-level administrative support to senior bankers and leadership teams.
  • Coordinate complex diaries, meetings, and client communications.
  • Arrange domestic and international travel, itineraries, and expense management.
  • Process invoices and expenses accurately and efficiently.
  • Organise internal and client meetings, including venue bookings, catering, and guest management.

About You

  • Fluent in both German and English.
  • Previous experience as an Executive Assistant, Office Manager, or in a combined EA/Office Management role.
  • Exceptional organisational and multitasking skills.
  • Strong attention to detail and ability to prioritise effectively in a fast-paced environment.
  • Excellent interpersonal and stakeholder management skills.
  • Collaborative team player with the ability to work across international offices.
  • Professional, proactive, and highly trustworthy when handling confidential information.
  • Strong Microsoft Office skills, particularly Outlook, Word, and Excel.
  • Flexible to support occasional travel and events within Germany.
